Background
The Conservation Halton Foundation is the charitable partner of Conservation Halton (CH), dedicated to advancing its environmental initiatives by raising funds to protect natural assets, fostering connections between people and nature, and inspire positive change. Through fundraising, community partnerships, and public engagement, we support projects that restore ecosystems, build climate resilience, and ensure equitable access to nature for all.
We are seeking a donor database management tool to support these efforts. This system will track donations, manage donor relationships, and build strong connections with our supporters, all while streamlining our fundraising processes.
 

Project Overview
The Conservation Halton Foundation seeks a donor management solution with the following functionality capabilities, each designed to support our mission and operational efficiency:
• Donation Capture and Management: The system must support record keeping, receipt generation, store, and retrieve information on all donations, including one-time recurring gifts, grants, etc.
• Enhanced Donor Relationships/Moves Management: Features should include segmentation by donor type, giving history, and stated preferences, enabling personalized outreach and stewardship efforts. For example, the ability to tailor communications to individual, major donors or corporate donor or those interested in specific programs.
• Donor Tracking and Reporting Capabilities: The platform should offer robust reporting functions, such as generating donation history reports, average giving by audience, tracking campaign performance, and analysing donor retention rates over time. These insights are critical for evaluating fundraising strategies and strengthening donor engagement.
• Exporting and Importing Capabilities: An easy-to-use system for exporting and importing data is essential, with support for widely-used file formats (such as CSV and Excel) and integration with other platforms (such as Mailchimp). This ensures efficient data transfer between systems and reduces administrative burden.
These features will enable us to build stronger relationships with our donors, streamline data management processes, and improve fundraising outcomes from our fundraising activities.

CH anticipates awarding a contract for an initial three-year term, with two optional one year renewal periods.
